With so many moving parts, ensuring the safety of thousands (or even tens of thousands) of people is an incredible responsibility. Safety should be as integral to your event production schedule as staging and sound checks.

Whether you’re hosting an outdoor music festival, a large corporate conference, or a public celebration in a city center, here are some key strategies and guidelines to help make sure your event is safe for all, from beginning to end. 

Thorough Risk Assessments

A thorough risk assessment should be your first step before the venue is booked and the invitations are sent out. This process identifies potential hazards, such as trip hazards, electrical setups, extreme weather conditions, or overcrowding risks, and evaluates the likelihood and impact of each one. From there, mitigation strategies can be created.

Here’s what should be included in your risk assessment:

  • Trip and fall hazards (cables, uneven ground, stage edges)

  • Electrical safety (power distribution, generator placement, grounding)

  • Structural integrity of temporary installations (stages, tents, trussing)

  • Fire safety (fire extinguisher locations, flammable materials, cooking zones)

  • Emergency access points (for both attendees and first responders)

  • Severe weather planning

  • Overcrowding risks 

  • Medical emergencies

  • Security threats

  • Vendor compliance and insurance (permits, safety standards)

  • Traffic and transportation flow (parking, pedestrian safety, shuttle routes)

Even with the most detailed safety plan in place, all it takes is one vendor cutting corners to put your entire event at risk. That’s why it’s critical that every vendor (not just those building structures, but also those managing food, lighting, video, etc.) clearly understands from day one that safety is non-negotiable. Make sure each vendor carries the right insurance, including general liability and coverage for their equipment and crew. Don’t just take their word for it. It’s best to ask for proof early on and follow up with their providers if anything seems unclear. Close Collaboration with Local Authorities

Weather Preparedness

With climate unpredictability, weather has to be a critical safety consideration. From sudden windstorms to extreme heat, outdoor events are increasingly vulnerable to Mother Nature’s mood swings. Have a weather contingency plan in place. This plan should include evacuation strategies, tent or structure reinforcement plans, and heat mitigation solutions such as hydration stations or shaded cooling areas. Effective Communication
